Who can work today, and why not.

The register lists the people who cannot be rostered at the top. The rota blocks an assignment when working time would be breached, a critical training module has lapsed or a right to work check is missing or expired. The registered manager can override with a written reason.

  • A rota that blocks unsafe assignments

There are eleven reasons an assignment can be blocked, each stated in full. Three cannot be overridden: approved leave, a double booking and a time clash. The other eight require a reason from the registered manager, which is recorded on the assignment.

  • Checks on the record

DBS checks are recorded with a verified result and the renewal date. Right to work is checked against the shift date. The record also holds references, professional registrations followed up sixty days before expiry and the onboarding gates that must close before a person is activated.

  • Eight tabs, one person

The tabs are profile, checks, training, health, shifts and hours, absence, documents and history. Login access, role changes and password resets are managed from the same record.

Training

The matrix, and what blocks a shift

A new home starts with nine default modules, seven of them critical. The matrix shows who is current, who is due and who has lapsed. A critical module that has lapsed or was never taken blocks rostering until the registered manager overrides it with a reason.

  • Training records a staff member submits are verified before they are accepted
  • Training expiring within thirty days, listed by name
  • Your own modules alongside the defaults

Rota

Publish a week that is safe to publish

Create shifts, copy last week, assign and publish. A rota cannot be published when a shift falls short of the home's coverage requirement. Copy last week never makes an assignment the rota would block.

  • Working Time Regulations: the 48-hour week, daily rest and night limits over a 17-week reference period
  • Night workers need a current health assessment
  • Clock in and clock out recorded for the day
